Our Lady of the Chesapeake seeks candidates for an Administrative Assistant. This position provides office and administrative assistance and support to the Pastor and the Pastoral Staff. The ideal candidate must have excellent customer service and communication skills. This person must have the flexibility to handle variety of duties and continuously changing tasks in order to best meet the needs of staff members, volunteers, parishioners and various groups involved with church activities and events. This is a part-time, non-benefit eligible position, working 15-18 hours per week, three days per week, 9 am – 2 pm.
Essential Functions
- Assists the Pastor and Pastoral Staff in their day to day duties
- Answers phone & door, handles requests and/or questions and solves problems as needed (i.e. weddings, funerals, Mass cards, etc.)
- Responsible for maintaining the parish’s data in Ministry Platform, and other parish databases
- Ensures the Parish’s Sacramental Registers are properly maintained
- Manages the recording of financial contributions into Ministry Platform database
- Maintains the Church envelope system
- Works with volunteers to record financial gifts and offerings made to the parish
- Oversees the parish’s online giving programs
- Responsible for parish communication tools
- Ensure the weekly completion of the pastorate bulletin
- Creates and publishes the weekly Flocknote communications
- Maintains and monitors the pastorate website, social media, and “info” email for parish
- Maintains and monitors Ministry Scheduler Pro (MSP) for parish
- Trained as a back up to other office functions not specifically mentioned
- Provides administrative support to various groups and committees as needed
Position Qualifications
- Must have High School diploma or GED.
- Three years minimum of administrative experience
- Must be able to prioritize work and handle detail oriented projects.
- Proficiency with Microsoft Office (Word, Excel, Publisher) is required.
- Must have proficiency in technology usage
- Must have excellent customer service and communication skills.
- Excellent discretion and judgment to serve all who seek assistance and to maintain appropriate confidentiality.
- General knowledge of the Catholic Church is preferred.
- Must model Christian attitudes and behaviors and adhere to the Archdiocesan Code of Conduct.
